Privacy notice
How Octane Systems Ltd handles personal data when you use this website or contact us. Last reviewed 2 November 2026.
Who we are
Octane Systems Ltd (company number 17241586, registered office 167-169 Great Portland Street, London W1W 5PF) is the data controller for the personal data described in this notice. You can contact us about privacy at [email protected].
What we collect and why
When you email us or enquire about our services
We collect your name, email address, any company you mention and the content of your message. We use it to reply to you, to understand what you need and, if we go on to work together, to scope and deliver that work. Our legal basis is our legitimate interest in responding to enquiries and running our business, and, where you ask us to take steps towards a contract, the performance of that contract.
When you visit this website
This site is static and does not set cookies or use analytics. It is hosted on Cloudflare's network, which processes the technical details of each request (such as your IP address, browser type and the page requested) to deliver the page and to protect the site from abuse. Cloudflare acts as our processor and keeps these logs for a short period. The site loads its typefaces from Google Fonts, which means your browser requests font files from Google's servers and Google receives the technical details of that request; Google's privacy policy governs that processing.
When we work for you
If you become a client, we will process the personal data needed to deliver the engagement under the terms we agree with you. We will usually act as your processor for data in your systems and as a controller for our own records of the engagement.
Who we share data with
We do not sell or rent personal data. We share it only with the suppliers who provide our systems (Microsoft 365 for email and documents, Cloudflare for hosting), with professional advisers where necessary, and where the law requires. Our suppliers may process data outside the UK; where they do, transfers are covered by the UK's adequacy regulations or by the International Data Transfer Agreement or equivalent safeguards.
How long we keep it
Enquiries that do not lead to work are kept for up to 12 months and then deleted. Records of client engagements are kept for six years after the engagement ends, in line with our contractual and tax obligations.
Your rights
Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to its processing, and to data portability. To exercise any of these, email us at the address above. We will respond within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to resolve the issue first.
Changes
We will update this notice if our practices change. The date at the top shows when it was last reviewed.
